BACKGROUND

Wildlife Crime Prevention is a Zambian-based not-for-profit organisation that works nationally across Zambia, providing support to the Department of National Parks and Wildlife Investigation and Intelligence Units and the National Prosecution Authority. The main goal of WCP is to coordinate closely with key DNPW personnel and conservation NGOs working in Zambia and regionally in our efforts to reduce the illegal wildlife trade.

PURPOSE

Wildlife Crime Prevention (WCP) is in search of an individual to provide administrative and financial support to the Finance Department and ensure the effective and efficient operations of the Department.

SCOPE OF WORK

The position includes, but is not limited to, the following responsibilities:

  • Ensures accurate and timely capturing of transactions, journals, and accruals in the accounting software monthly.
  • Ensures accurate allocation and splitting of costs in the accounting software monthly.
  • Ensures accurate and timely reconciliation of accounts data when required.
  • Monitors and reconciles AMU imprest accounts, retirements, and bank reconciliations monthly.
  • Raises and processes payment documentation when required.
  • Maintains an up-to-date filing system and ensures completeness of all documentation to be filed weekly.
  • Provides support during internal and external audits when required.
  • Maintains and updates the WCP asset register, asset files, and asset tagging, and files necessary documentation monthly.
  • Manages office inventory for all supplies procured and issued, and conducts monthly physical stock count.
  • Maintain the Vehicle Repairs cost schedule and coordinate in-house invoicing for all repair work conducted by the workshop monthly.
  • Manages workshop inventory for all supplies procured, issued, and conduct monthly physical stock count.
  • Management of accounts payable with regard to gratuity and vendor invoices.
  • Issuance of PO in the accounting system.
  • Vetting, uploading, verification, and performance management of vendors.

REQUIRED SKILLS/EXPERIENCE

  • Holds a Senior Secondary (Grade 12) Certificate
  • Minimum Diploma in a finance-related course with at least two years of experience in an administration and/or finance role. Experience in the NGO sector would be advantageous
  • Suitable knowledge of basic accounting transactions
  • Knowledge of accounting software and/or bookkeeping, preferably SAGE.
  • Strong knowledge of business software such as Microsoft Office
  • Exceptional interpersonal and communication abilities, including excellent writing, verbal and listening skills
  • Fluency in English, both written and oral, required
  • Exceptional organisational and planning skills, ability to work well with teams as well as independently
  • Self-motivated and goal-oriented
  • Flexibility and adaptability
  • The ability to learn quickly
